The management team is aware that their current use of IT is limited and outdated. They are concerned that this is slowing down operations, causing booking errors, and reducing customer satisfaction. They have asked you to investigate how modern technology could be used to improve their business processes, increase efficiency, and make the company more competitive in the market.

Task 1

The director of the company has asked you to prepare a presentation for her and the company managers in which you evaluate how technology can be used to support an organisation’s aims.

Your presentation needs to cover the following:

  • an explanation of the different types of business processes which can be found in a typical organisation and how these support a company’s needs
  • an explanation of how businesses can use technology to support their business processes and an analysis of the impact that business processes and technology can have on an organisation

The director has also asked you to include in the presentation an evaluation of how effective various technologies can be in improving business processes and meeting an organisation’s needs. Your presentation should include some real life examples of how technology has improved business processes and your discussion of the issues must be clear, balanced and fluent.

You have obtained a work experience position at a local medium-sized car rental company. They have asked you to investigate how technology can be used to improve their booking and rental process.

The current paper-based and spreadsheet-based booking system is slow and prone to errors. The company wants a process which:

  • makes booking a vehicle quick and easy, ensuring all required customer and rental information is collected correctly
  • prevents double-booking or selecting unavailable vehicles
  • ensures that records of vehicle availability, pricing, rental duration, and customer details are accessible to all staff
  • ensures that booking status and vehicle return dates are updated in real time

Task 1

The director of the company found your presentation on using technology to support business processes very interesting. He has now asked you to develop and evaluate a plan to improve the vehicle booking process, including the use of technology.

To do this you need to complete the following tasks:

  • Have a meeting with one of the staff and discuss with them the current booking process, and review the attached booking form, taking notes on your discussions
  • You should then:

o Create a model (annotated diagram) of the current booking process.
o Write an analysis of the current booking system and how it supports the business requirements.
o Identify where improvements could be made in the existing process.

  • Develop a plan using change management processes to improve the booking process, including the use of technology, to meet the business requirements.
  • Take part in a discussion with the company director in which you review your plan, taking notes on what is said. Following your discussion, refine and improve your plan based on the feedback received and write an assessment of how useful the feedback was in helping you to improve the plan.
  • Review your improved plan with the director and justify the decisions you have made in the plan. Your tutor will record the discussion to provide evidence.
  • Write an evaluation in which you consider both the model of the existing booking process and your plan to improve it and how effective your suggested improvements are likely to be. Your evaluation needs to consider both positive and negative aspects and be clear, balanced and fluent with realistic examples which are specific and measurable.

Present evidence that you have shown individual responsibility, effective time-management in your investigation and planning of the improvements to the business process making high-quality justified recommendations and decisions. This should include a task plan for completing the assignment and a witness testimony from your tutor. For example, you need to show how you have:

  • Planned and managed your time and met targets.
  • Reviewed and responded to outcomes including the use of feedback from others.
  • Behaved appropriately while completing the assignment – including professionalism, etiquette, being supportive of others, timely and appropriate leadership, accountability and individual responsibility.
  • Evaluated outcomes to help inform high-quality justified recommendations and decisions.
  • Used appropriate methods of communication effectively.
