Project Systems Acquisition Plan
Before any business leader or entrepreneur begins either a new project or venture, they understand there be some plan in place before they start. Shareholders will not invest in a new venture without having some sort of reassurance that the investment will be successful. To give them the confidence the entrepreneur needs to provide them with a proper acquisition plan. “The acquisition plan documents all cost, schedules, technical, business management concerns, and any other considerations that will govern the plan.” (“Acqnotes,” 2018) Think of it as a summary with milestones to track progress and keep shareholders confrontable. In this paper we will be discussing the description and justification of the specific systems design and development approach, also the summary of the steps in the system acquisition process including initiation, analysis, design, acquisition, and maintenance. Finally, we will discuss a high-level overview of who will participate in each of these steps. These steps will be a look into the process of researching a business development idea. It is important to remember that the systems Acquisition Plan is a working living document, it is in no way written in stone. As the project moves along so will the need to revise the plan to keep it current and up to date.
Specific Systems Design and Development
Before making the final decision on which system design you want to use to develop your idea it is important to have a very detailed conversation with the stakeholders who are going to be involved. One of the worst possible outcomes is to have invested in the system design and it not meet the expectations of the stakeholders. That could be very costly not to mention a poor use of time for everyone involved. Communication is very critical at this stage of the venture. Our system acquisition will be making improvements to our Computerized Maintenance Management system (CMMS). It has out served it usefulness, as technology continues to evolve so does our need to update our CMMS system. Having explained that our project is going to be using the Software Development Life Cycle (SDLC) approach. “This framework defines tasks performed at each step in the software development process.” (“Techopedia”, 2018). The reason the approach was chosen is it provides a detailed plan of how each step in developing the new software will take place. Should we run into a problem, it will simpler to find out where the problem exists. Having a detailed plan will also provide more meaningful milestones. We can use these milestones to measure our team’s performance on how well they are progressing to define roadblocks that have occurred along the way. This process will provide better incite to the software development as it moves along the different stages of the project lifecycle.
Systems Acquisition Process
There are several steps in the SDLC approach that we must get completed for our acquisition process to be successful, and to ensure the success of our project they are:
- Planning/ Initiation/Analysis- This is the most critical of all the activities. This phase is where we will acquire all the necessary resources, collect all the required information, once that is completed, we will create a scope, and define responsibilities of those who are involved with the project.
- Acquisition- The acquisition will be funded by capital monies approved by the organization. It will manage by the financial team.
- Implementation/Design- This phase is where the software engineers are beginning to develop the software needed to support our project. They are behind the technical aspect of the project.
- Testing- Once the software has been designed by the engineers it will go through a testing period to ensure there are no bugs in the system. It is also essential to provide the software is delivering the expected results.
- Documentation- This stage beings at the very beginning of the project and follows the plan until it is completed. Every step is documented for future reference and help in troubleshooting should there be a problem.
- Deployment- After the actions have been recorded and testing is complete it will be rolled out for use. This process is usually deployed to a small scale of people and trialed. If it provides the expected outcome, it will then be rolled out a broader audience.
- Maintenance- Maintenance of the system will be set up on scheduled intervals that will not have little to any impact on the user. This time is intended to clean up any file and download updates to keep the new software running at optimal levels. It is also important to mention we will be using the incremental model as this new software program is being developed. “This model the cycles can be easily managed and go through a set of phases.” (“Techopedia”, 2018). You can expect a working version of this during the first iteration.
As we work on defining our acquisition process, we will need to assign which parties are involved as we work through each stage. As part of the planning process, it is vital that we define who is going to be responsible for step. Participation is going to be essential to keep this acquisition on schedule and to ensure we have the right people working on the correct phase of the project. “Project team members are individuals who are actively working on one or more phases of the project.” (Bisk, 2018) The shareholders will be the CEO and COO; they will be responsible for setting the expectations of the project. The Controller and finance team are responsible for keeping up with the budget of the project. The Project Manager will be responsible for overseeing and documenting the various steps of the project and reporting to the finance team and the shareholders the progress of the project once a month. Finally, the development, implementation, and maintenance of the software will be left to the software engineers to manage. By everyone being responsible and participating should ensure the success of the project and deliver the desired results.

As we read thru this paper, we can see that several steps go into ensuring the success of the project system acquisition. This process involves several members of the organization from critical upper management positions down to the user. This acquisition process is not something that should be taken lightly, in most cases software developments take time and can be a hefty investment for the organization. This constraint can add a lot of stress to the situation, as long you have a solid plan, followed the correct steps, implemented milestones, and communicated effectively with the shareholders then you are on the right path to being successful.
